Fire Fighting System AMC Checklist: Monthly, Quarterly and Annual Tasks

22 October 2026 · 6 min read · by

Title card reading Fire Fighting System AMC Checklist: Monthly, Quarterly and Annual Tasks.
Title card. Not a photograph of a Secured Engineers site.

A fire fighting AMC should list tasks by subsystem and frequency, and require a signed log for each task. The Indian Standards set the rhythm: pumps run daily for at least five minutes, hydrants and alarm zones are checked weekly, extinguishers are inspected monthly and serviced quarterly, and sprinkler systems are flushed and serviced every year. The log is what a NOC renewal visit reads.

Which standards set the frequencies?

Four Indian Standards carry most of the maintenance schedule for a factory. IS 15105 covers sprinkler systems, and its maintenance chapter also sets the routine for the fire water tank and the fire pumps; the BIS lists the 2021 first revision as current, and the frequencies below are taken from it. IS 13039 (1991) covers external hydrants. IS 2189 (2008) covers automatic fire detection and alarm systems, and IS 2190 (2010) covers portable extinguishers. The National Building Code, Part 4, is the usual design basis around them.

Two cautions. First, these are the editions we read; check BIS for later revisions of IS 13039, IS 2189 and IS 2190 before you copy a frequency into a contract. Second, your state fire service may ask for more than the standard. Treat the standard as the floor and your NOC conditions as the ceiling.

What is the task list, subsystem by subsystem?

Portable extinguishersInspect for position, seals, gauge, damage; clean and check; detailed inspection and discharge test cycleMonthly; quarterly; annualIS 2190

Hydrant output deserves a note. IS 13039 asks for a quarterly test with at least three adjacent hydrants open, and expects an output of 1,125 litres a minute at a minimum of 5.25 kgf/cm². Your design basis may differ, so use your approved hydraulic calculation for the pass mark and record the reading each quarter.

What should the logs record?

A task that is not written down did not happen, as far as an inspector is concerned. Keep five records, each with date, reading, name and signature.

  • Pump run log: start mode (auto or manual), run time, suction level, delivery pressure, speed, diesel level, abnormal noise or leakage.
  • Weekly round sheet: hydrant pits, tank level, valve positions (open or closed with lock or tag), panel status, battery check.
  • Detection test register: zone and device tested, result, faults found, date closed.
  • Extinguisher register: serial number, type, location, inspection and refill dates, discharge-test results, replacements. IS 2190 asks for a register of this kind.
  • Impairment and defect log: any time a system is isolated, the reason, the compensating measures and the restoration time. IS 15105 expects the authorities to be told before a planned shutdown and expects compensating measures such as extra watch staff.

What does a NOC renewal visit read?

Rules differ by state and have changed recently in several, so confirm yours with the fire office. As a worked example, a 2026 Delhi Fire Service certificate for a Group G industrial building runs for three years. Its conditions state that all fire fighting equipment shall be maintained in perfect working condition at all times, that the owner or occupier submits an annual declaration in Form K, and that renewal is applied for six months before expiry. Our Fire NOC guide for Punjab, Haryana and UP covers the northern states.

Whatever the state, the visit tends to follow the same path: the inspecting officer starts the pump, reads pressure at the remote end, looks at the panel and extinguisher tags, walks the escape routes and asks for the logs. Gaps in the log are read as gaps in the maintenance. The simplest fix is a monthly internal review of the five records above, signed by the plant head.

Where do AMC checklists usually fail?

The gaps are rarely in the pump. They sit in the small items that nobody owns. A sectional valve left closed after a repair silently cuts off half a sprinkler zone, which is why the weekly round sheet records valve position. A diesel engine with a flat starting battery passes a visual check and fails when it is needed, which is why the battery status is its own weekly line. Sprinkler heads and detectors get painted over during a shed repaint; IS 15105 says the heads must be kept free from paint and dust and be accessible. Extinguishers get moved behind new racking and stay on the register at their old location.

Each of these is caught by one habit: a named person walks the system weekly with the sheet in hand, and the AMC engineer reads that sheet before starting the quarterly work.

How should you write the AMC scope?

List what the AMC covers, who does the daily work, and how fast the contractor responds. The detection standard allows either a service contract or a trained employee for basic servicing, and IS 15105 recommends a qualified agency for periodic test and service. Settle these points in writing:

  • Visit frequency, and which quarterly, half-yearly and annual tasks are done on each visit.
  • Whether parts and consumables are inside the price, with a named list of what counts as a consumable.
  • Response time for a pump failure or a panel fault, and who is on call on a Sunday.
  • Who holds the logs, and the format of the report left after each visit.
  • Annual certificate: a signed test report you can attach to the renewal file.

The AMC SLA glossary entry and our note on what an AMC contract should contain go through each clause. Our AMC and maintenance service page lists what we cover.

How Secured Engineers helps

We design fire fighting systems in-house and file the Fire NOC, so we know what the approved drawing promised and what the renewal visit will test. Fire, electrical, HVAC and solar work can sit under one contract, which helps when a pump failure is really a power-supply fault. We work from offices in Noida (Delhi NCR) and Ludhiana, with 535+ projects across 18+ states and 89.77% repeat clients.

If you already have an AMC contract or a checklist, send it. We will mark the gaps against the schedule above, with no obligation. Start at our AMC and maintenance page, message us on WhatsApp, call +91 70099 85817, or ask for a free proposal.

Frequently asked

How often should a fire pump be run?

IS 15105 says all fire pumps, and the diesel engine, are run for at least five minutes every day, with the priming tank level, delivery pressure and speed recorded. Weekly checks cover glands, bearing grease and starter contacts. A full-flow test of each pump is an annual task. Daily runs are usually done by the factory's trained pump operator, not by the AMC visit.

What is the difference between inspection and servicing of extinguishers?

IS 2190 asks for inspection by trained persons at least once a month: position, seals, gauge, weight, physical damage. Quarterly maintenance adds cleaning, nozzle and cap checks, and a check of the gauge. A more thorough annual inspection includes discharge testing on a rotating basis. Servicing and recharging are done by trained persons with the manufacturer's data, and every action goes into the extinguisher register.

Does an AMC replace the factory's own daily checks?

No. The standards put the daily and weekly routine on the user: the pump man on every shift, the panel check each day, the weekly alarm and hydrant checks. An AMC visit covers the quarterly, half-yearly and annual work, repairs, and a second pair of eyes on the logs. Write the split into the contract so each side knows what it signs.

Which records does the fire service ask to see at NOC renewal?

It varies by state, so confirm with your fire office. A sample Delhi certificate requires fire equipment to be kept in working condition at all times, an annual declaration in Form K, and a renewal application six months before expiry. Inspecting officers commonly ask for pump run logs, extinguisher registers, panel test records and the last test certificates.

Should the AMC be comprehensive or non-comprehensive?

A non-comprehensive AMC covers labour and visits; parts and consumables are charged extra. A comprehensive AMC includes defined spares and consumables, usually with exclusions for damage or misuse. For fire systems, ask for a list of what counts as a consumable (sprinkler heads, extinguisher refills, detector heads, hose couplings) so the price comparison is like for like.
