Industrial HVAC AMC: Scope, Response Times and the Checks That Prevent Breakdowns
An industrial HVAC AMC is a yearly contract for scheduled servicing of chillers, cooling towers, air handling units, VRF or ducted units, pumps and controls. Judge it on five things: the asset list it names, the visit frequency per asset, who pays for parts and refrigerant, the response and restoration times written into it, and the reports you receive after every visit.
What should an industrial HVAC AMC cover?
List the assets before you talk about price. A contract that says "all HVAC equipment" without a tag list cannot be audited, and the first dispute will be about what was included. Each line of the list should carry the make, model, capacity, location and age, with a preventive task schedule against it. Frequencies below are conventions we see in plant contracts; your OEM manual and the duty of the equipment decide the final schedule.
| Asset | Typical preventive tasks | Typical frequency |
|---|---|---|
| Chillers (air or water cooled) | Log pressures, temperatures and motor current; check oil and refrigerant level; leak check; clean condenser tubes or coils; test safeties and controls | Monthly log check; quarterly service; annual overhaul tasks |
| Cooling towers | Inspect fill and drift eliminators; clean basin and strainers; check fan, gearbox oil and water treatment dosing | Monthly; basin cleaning as the water quality demands |
| AHUs and fan coil units | Change or clean filters; clean coils; check belts, bearings and drain pans; check dampers and actuators | Filters monthly or by pressure drop; coils quarterly |
| VRF and ducted split units | Clean indoor filters and outdoor coils; check refrigerant circuit for leaks; check drain lines and controller faults | Quarterly |
| Pumps, VFDs and panels | Check seals, alignment, vibration; check VFD parameters and cooling fans; tighten and thermo-scan terminations | Quarterly to half-yearly |
| Controls and sensors | Calibrate temperature, humidity and pressure sensors; verify setpoints and alarms | Half-yearly to annual |
Ask for the cleaning and calibration items to be separate lines, because they are the ones that get skipped when a visit is rushed.
Build a baseline in the first month. The contractor should survey every asset, tag it, photograph the nameplate, record the opening readings and list existing defects with a cost and priority. That survey is what lets you tell later whether a fault is new, and it protects both sides when a legacy problem surfaces after the contract starts. Without it, a plant with old, undocumented equipment turns into an argument over who inherited which defect.
What response times should the contract state?
"Response time" is used loosely, so define three clocks in writing. The first is call logged to engineer acknowledging. The second is engineer on site. The third is the equipment restored to service. A contract that promises only the first is a courtesy, not a service level.
Set the times by the consequence of failure, not by a single figure for the whole plant. Process cooling for a moulding line or a server room, where a stoppage costs production, deserves a shorter clock and spares held on site or by the contractor. Comfort cooling in an office can wait. Also state the hours the clock runs, the escalation path with names and mobile numbers, and what happens when the clock is missed, whether that is a service credit or a right to bring in another contractor. Our note on what an AMC contract should contain covers the clause list, and the glossary entry on AMC, O&M and SLA explains the terms.
Which checks actually prevent breakdowns?
Most HVAC breakdowns announce themselves in the data weeks earlier. A good AMC records a short set of readings every visit and compares them with the last visit, so drift is caught before a trip.
- Condenser approach and cooling tower range: a rising approach points to fouled tubes, scaling or a failing fill, and costs energy before it causes a trip.
- Refrigerant pressures, superheat and subcooling: these reveal a slow leak or a restriction while the unit still runs.
- Motor current and its balance across phases: a creeping current points to bearing wear, a belt problem or an electrical fault.
- Filter pressure drop across AHUs: a clogged filter starves the coil and freezes it.
- Condensate drains and drain pans: blocked drains are the commonest cause of water damage from ceiling units.
- Vibration and noise at fans and pumps: a baseline reading makes a change obvious.
The India Cooling Action Plan, published by the Ozone Cell of MoEFCC, notes that proper maintenance and servicing can curtail up to a 50 percent reduction in performance, citing the TEAP 2018 report, and that the servicing sector accounts for more than 40 percent of national refrigerant consumption. It also describes the effort to train and certify service technicians. Ask for the technician qualifications and training records of the people who will actually visit your plant, not of the company's head office.
Who pays for parts, refrigerant and breakdowns?
This is the clause that moves the price most. A non-comprehensive AMC covers labour for the scheduled visits and perhaps consumables such as filters and belts. A comprehensive AMC also covers replacement parts, and sometimes the compressor, with a list of exclusions. Read the exclusions line by line: damage from power-supply faults, missing water treatment, flood, misuse and parts "not available from the OEM" are typical carve-outs. Refrigerant top-up is often limited to a quantity a year. Decide which risk you want to hold yourself and which you want to pay a contractor to hold.
What should the reporting give you?
After each visit you should receive a signed service report listing the assets visited, the readings, the tasks done, the parts replaced and the faults observed with a recommended action and date. Each quarter, ask for a summary: faults by asset, repeat failures, open recommendations and energy trend if the plant is metered. A budget view of the same data helps next year's negotiation, and the MEP maintenance budget calculator lets you price a scope line by line before you compare offers.
How Secured Engineers helps
We design and install MEPF systems in-house, and the same teams maintain them under AMC and maintenance contracts, so HVAC, electrical and fire-fighting assets can sit in one schedule with one escalation path. Fire NOC and CEIG filings are handled in-house. We work from our Noida (Delhi NCR) and Ludhiana offices, across 535+ projects in 18+ states, with 89.77% repeat clients.
If you already hold an HVAC AMC, send us the contract and the asset list. We will read it against the checks above and tell you what is missing, such as untagged assets, an undefined response clock or a refrigerant exclusion. Start from our AMC and maintenance page, message us on WhatsApp, call +91 70099 85817, or ask for a free proposal.
Frequently asked
How often should industrial chillers be serviced under an AMC?
Follow the manufacturer's manual for the exact schedule. In plant contracts the usual pattern is a monthly check of logged readings, a fuller quarterly service, and an annual overhaul that includes condenser cleaning and safety testing. Duty matters: a chiller running year-round for process cooling needs tighter intervals than one serving comfort cooling in summer only.
What is a reasonable response time in an HVAC AMC?
It depends on what a failure stops. Define three clocks: acknowledgement, engineer on site, and equipment restored. Process or critical cooling warrants a short on-site clock and spares held nearby, while comfort cooling can have a longer one. Put the hours the clock runs, an escalation list and the remedy for a missed clock in the contract, so the figure is enforceable.
Does an AMC include refrigerant gas and spare parts?
Only if the contract says so. A non-comprehensive AMC usually covers labour and consumables. A comprehensive one adds parts, sometimes the compressor, with exclusions. Refrigerant is often capped to a quantity a year. Ask for the exclusion list in writing and compare offers on the same basis, otherwise a lower price may simply mean a narrower cover.
Can one AMC cover equipment from several manufacturers?
Yes, an independent contractor can service mixed equipment under one contract, provided it has the manuals, service tools and access to genuine spares for each make. For equipment still under warranty, check whether the OEM requires its own authorised service to keep the warranty valid, and keep that item as a separate line.
How do I compare two HVAC AMC quotations?
Put both on the same sheet: asset list, visits per asset, hours per visit, consumables, parts and refrigerant treatment, response and restoration clocks, reporting, exclusions and taxes. Offers that differ only in price but not in this scope are rare. A budget sheet that multiplies assets, visits, hours and labour rate makes the differences visible before you negotiate.
